Medical claim denial appeal software

A complete appeal packet, ready to review.

Drop in an EOB, denial letter, or portal screenshot. See what happened, whether the denial is worth fighting, and what to send next. The packet includes the deadline and its source. A BAA will be included at launch.

The rest of the work

The letter was never the hard part.

  • ChatGPT and templates give you prose. A usable appeal also needs the right form (Medicare uses CMS-20027; Aetna does not), an evidence checklist, the submission address or portal, and the deadline. Without those pieces, it can bounce before anyone reads the argument.
  • Payer appeal windows differ. UnitedHealthcare may give you 65 days; others give 180. Miss the applicable date and the money is gone, no matter how good the letter was.
  • Every ChatGPT session means re-explaining the task and hoping it doesn't invent a policy number.
  • Patient names, member IDs, and diagnoses are PHI. Consumer ChatGPT does not give your practice a BAA.

We are building the workflow that carries a denial through to a packet you can review and send.

How it works

  1. Upload the denial.

PDF, photo, EOB, payer letter, or portal screenshot. We assume messy inputs.

  2. Review the read.

Check the payer, claim, codes, denial reason, sourced deadline, and triage recommendation. Every field stays editable.

  3. Download the packet.

Appeal letter with every fact sourced, the right form, a documentation checklist, and where to send it. You send it.

A reviewable packet in about two minutes. Manual research and retyping can take hours.

A draft letter is easy to get. The right form, deadline, evidence list, and submission route are the work worth paying for. The BAA covers the workflow.

What's in the packet

02

The correct form

The Medicare redetermination form (CMS-20027) when it applies, plus commercial payer forms in our launch set.

03

Documentation checklist

What to attach so the payer does not reject the packet as incomplete.

04

Send sheet

The sourced deadline and safety margin, plus the address, fax, or portal and the appeal level.

05

Triage note

Sometimes the right move is “Resubmit with modifier 25.” We will say so instead of forcing an appeal.

Trust & HIPAA

PHI belongs in the architecture from day one.

  • Click-through BAA at signup when we open
  • Hosted at launch on cloud infrastructure operating under a BAA
  • AI processing at launch stays with BAA-covered providers. No consumer AI endpoints.
  • Encryption in transit and at rest
  • We never train models on your uploads
  • Clear data-retention and deletion policy
  • Full audit trail of everything generated (at launch)

Frequently asked questions

Why pay for this when ChatGPT is free?

ChatGPT can draft the letter. You still have to find the right form, evidence list, submission route, and deadline. Consumer ChatGPT also does not give your practice a BAA for PHI.

Will the payer know AI was used?

You review, approve, and send every draft under your practice's name. The product never communicates with the payer, and the packet remains editable so you can follow your contracts and internal policies.

Do you submit appeals for us?

No. We draft the packet. You review, sign, and submit it under your practice's name.

What if the extraction is wrong?

Every extracted field is shown and editable before anything is generated. If a field is wrong, correct it before generating the packet. Treat the result like a junior biller's draft: check it before it goes out.

What if the deadline is wrong?

Each deadline shows its source and includes a conservative safety margin. If we do not have a verified rule for that payer, the product says “confirm with payer.” It does not guess.

Which payers at launch?

Medicare plus a small set of major commercial payers. The exact list comes with early access.

Is this HIPAA compliant?

At launch, we will operate with a BAA, PHI-capable hosting, encryption, and a no-training policy on your data. HIPAA is a legal framework, not a product certification. Be wary of vendors selling a “HIPAA certified” badge.

Do you replace our EHR or billing system?

No. It handles the work between receiving a denial and preparing the appeal. Your EHR and billing system stay in place.
